Terms of Service

Version 2026-10-22 · Effective October 22, 2026 · Part 1 of the Papeles agreement. Part 2 is the Data Processing Agreement.

Effective October 22, 2026 (version 2026-10-22). These Terms are a contract between Papeles LLC, an Illinois limited liability company ("Papeles," "we"), and the law firm or attorney that creates a Papeles account (the "Firm," "you"). By checking the box to accept these Terms when signing up, or by using Papeles, you accept these Terms and the Data Processing Agreement in Part 2.

1. The service and your accounts

1.1 What Papeles is. Papeles is web-based practice-management software for immigration law practices. It stores client records, prepares USCIS forms from those records, records payments, and offers a client portal (the "Service").

1.2 Papeles is not a law firm. Papeles does not give legal advice, does not represent your clients, and does not review the forms it prepares. Papeles has no attorney-client relationship with you or your clients.

1.3 Who may use the Service. The Firm's account is opened by a licensed attorney in good standing (the "Account Owner"). The Account Owner may add:

1.4 Responsibility for users. The Firm is responsible for everyone it adds, for keeping their access current, and for switching off access when someone leaves. Each person needs their own login; logins may not be shared.

1.5 Sign-in security. Firm users must use two-factor authentication with an authenticator app. You must keep passwords and devices secure and tell us promptly at support@mypapeles.com if you suspect a login has been compromised.

1.6 Accurate account information. You will keep the Firm's details (Firm & Forms page) accurate. Those details print on forms as the attorney and preparer, so you are responsible for them.

2. Subscription, fees and billing

2.1 Free trial. New accounts get a 30-day free trial. A payment card is required to start it. Unless you cancel before the trial ends, your subscription begins and your card is charged.

2.2 Fees. The subscription is $90 per month for each Firm user: each attorney, admin or staff login that is switched on, including logins invited but not yet used. Client Portal Users and logins you switch off are not charged. Adding or switching on a login during a billing period is charged pro rata. Fees are flat and never a share of the legal fees you earn. Fees exclude taxes, which you pay where they apply.

2.3 Billing. Stripe, Inc. processes subscription payments. Papeles never sees or stores your full card number. Subscriptions renew monthly until cancelled. Charges are not refundable, except where the law requires a refund.

2.4 Price changes. We will give at least 30 days' notice by email before a price change takes effect. The change applies from your next billing period after the notice period.

2.5 Cancellation. You can cancel any time from the Billing page. Access continues until the end of the paid period. Section 4 explains what happens to your data afterward.

2.6 Late payment. If a charge fails and is not fixed within 10 days of our notice, we may suspend access for the whole Firm until payment is made. Suspension does not delete data.

2.7 Payments you collect from your clients. The Service lets you record payments and link to your own card processor (for example LawPay or Square). Those payments are between you and your client under your processor's terms. Papeles does not hold, receive or move your clients' money, and you remain responsible for trust-account rules.

3. Your professional responsibilities

3.1 Your judgment controls. You are solely responsible for the legal work you do with the Service. Before filing, you will review every form Papeles prepares for accuracy, completeness and eligibility, and you will sign it as you would any form.

3.2 Form editions. USCIS changes forms and filing rules without notice. We aim to update Papeles forms promptly, but you must confirm that each form is the current edition before filing.

3.3 Your clients' information. You confirm that you have the right to put your clients' information into the Service. That includes any consent your rules require before using a cloud service provider. You decide what information to collect and keep.

3.4 Client Portal Users. When you invite a client to the portal, you are responsible for inviting the right person at the right email address. You are also responsible for switching off the login when the representation ends.

3.5 Acceptable use. You will not, and will not let anyone else:

3.6 Your security duties. You will keep your devices and email accounts secure. Report any suspected unauthorized access to security@mypapeles.com right away. The Firm is responsible for maintaining its own professional liability and cyber-liability insurance appropriate to its practice.

4. Your data

4.1 You own it. Everything the Firm and its users put into the Service is "Firm Data": client records, forms, payments and portal entries. The Firm owns all Firm Data. Papeles gets only the rights needed to host and process it to provide the Service, as set out in the Data Processing Agreement.

4.2 Confidentiality. Papeles treats Firm Data as confidential. We will not sell it, use it for advertising, train machine-learning models on it, or disclose it, except:

4.3 Separation between firms. Each firm's data is kept apart from every other firm's. No other firm, including any law firm affiliated with Papeles's owner, can see your data through the Service.

4.4 Aggregate information. We may count usage (for example, how many forms are generated) to run and improve the Service. Such counts never identify a firm, a client or a case.

4.5 Getting your data out. During the subscription, and for 60 days after it ends, you may request a full export of Firm Data. We will deliver it within 30 days in a common format (CSV files).

4.6 Deletion after termination. 60 days after the subscription ends, we delete Firm Data from the live system. Backup copies are overwritten within a further 35 days. You can ask us to delete sooner in writing. On request, we will confirm deletion in writing.

4.7 Feedback. If you suggest improvements, we may use them freely, without obligation to you.

5. Warranties, liability and termination

5.1 Our commitments. We will provide the Service with reasonable skill and care. We will protect Firm Data as described in Part 2, and we will not materially reduce its security during your subscription.

5.2 Disclaimer. Apart from Section 5.1, the Service is provided "as is" and "as available." We do not promise it will be uninterrupted or error-free. We do not promise that forms it prepares are correct, current or suitable for any case. We disclaim all implied warranties, including merchantability and fitness for a particular purpose, to the extent the law allows.

5.3 Limitation of liability. Neither party is liable for indirect, incidental, special or consequential damages, or for lost profits, revenue or goodwill. Each party's total liability under these Terms is capped at the fees the Firm paid in the 12 months before the claim arose. These limits do not apply to:

5.4 Indemnities. Papeles will defend the Firm against third-party claims that the Service, as provided, infringes their intellectual property, and will pay resulting damages. The Firm will defend Papeles against third-party claims arising from the Firm's legal work, its Firm Data, or its breach of Section 3. Each indemnity requires prompt notice, control of the defense, and reasonable cooperation.

5.5 Suspension. We may suspend a login or the Firm's access if needed to stop a security threat, unlawful use, or a breach of Section 3.5, or under Section 2.6. Where we can, we will tell you first and limit the suspension to what is needed.

5.6 Termination. Either party may end these Terms:

Sections 4.5–4.6, 5.2–5.4 and 6 survive termination.

6. General

6.1 Governing law and venue. Illinois law governs these Terms, without regard to its conflict-of-laws rules. Any dispute arising from these Terms or the Service will be decided only by the state or federal courts located in Cook County, Illinois, and both parties consent to the jurisdiction of those courts.

6.2 Changes to these Terms. We may update these Terms. We will give at least 30 days' notice of a material change by email to the Account Owner. Continued use after the effective date means acceptance. If you object, you may cancel before the change takes effect and receive a prorated refund of prepaid fees.

6.3 Notices. We send notices to the Account Owner's email address. You send notices to legal@mypapeles.com or Papeles LLC, 2136 W North Ave, Ste 1W, Chicago, IL 60647.

6.4 Assignment. Neither party may assign these Terms without the other's consent. Either party may assign to a successor in a merger or sale of substantially all of its business, if the successor accepts these Terms in writing.

6.5 Force majeure. Neither party is liable for delays caused by events beyond its reasonable control. Hosting-provider outages are included, but not a party's failure to keep reasonable backups and security.

6.6 Entire agreement. These Terms, Part 2 and any order form are the whole agreement. If they conflict, Part 2 controls on data protection and these Terms control on everything else. If a provision is unenforceable, the rest stays in effect. A failure to enforce is not a waiver.

6.7 Independent parties. The parties are independent contractors. Nothing here creates a partnership, joint venture, fee-sharing arrangement or attorney-client relationship.
